PHI must never be submitted to Elite Dental Force through our public-facing Site or communication channels without an executed BAA in place.

Elite Dental Force does not maintain PHI for its own business purposes. Any access to PHI is strictly limited to the Minimum Necessary standard to carry out the services defined in a Covered Entity’s agreement. We never use PHI for marketing, resale, or any secondary revenue purpose. We do not independently contact patients or alter patient care decisions. PHI remains, at all times, the property and legal responsibility of the Covered Entity who collected it.

When a Covered Entity transmits PHI to Elite Dental Force in order to assist with claims management and dental insurance workflows, we protect those records using robust administrative, technical, and physical safeguards that satisfy or exceed all requirements under HIPAA. We ensure that only authorized personnel with documented training, security clearance, and contractual obligations may access PHI. All employees and subcontractors are governed by confidentiality restrictions, access controls, and security policies consistent with HIPAA.

Elite Dental Force may use PHI only when necessary to perform services defined in the BAA, including claim validation, eligibility responses, payer submission assistance, automated rules processing, coding guidance, payer-communication automation, and real-time denial prevention. We may disclose PHI to subcontractors or technology partners only when required to securely execute operational functions, and only if such parties are contractually bound by written agreements that impose HIPAA-equivalent security controls.
