The Problem

Eligibility Verification Has Not Changed in 15 Years

Most dental offices verify eligibility the same way they did fifteen years ago: manual portal lookups, phone holds, and staff entering data they are not confident is accurate. The result is front-desk friction, billing surprises, and claims that leave money on the table before the patient leaves the chair.

Still Manual

Eligibility lookups rely on staff time, portal access, and manual data entry. High-volume days mean steps get skipped.

Payer-Dependent

Response quality, frequency limitations, and data format vary by payer. The same question gets different answers depending on who you ask and how.

Fragmented Data

Benefit information lives in the PMS, the payer portal, and staff memory. There is no single source of truth for what a patient's plan actually covers.

Late in the Workflow

When eligibility is verified at checkout or after the claim is submitted, the window to correct issues has already closed.

What It Does

Eligibility Intelligence
Built Around Open Dental

EDiFi Eligibility Standalone reads directly from Open Dental, pulls your appointment schedule, and surfaces benefit data for every patient before the visit. No manual triggers. No portal logins. The desktop agent runs in the background and updates every 24 hours.

Appointment-driven eligibility workflow EDiFi Connect installs on the machine running Open Dental and reads today's schedule plus the next two days automatically. No staff action required.
Benefit readiness view Each patient on the schedule gets a readiness score, a confidence rating, and a data source badge showing exactly where the information came from.
Payer and plan visibility Coverage percentages by category (Preventive, Diagnostic, Basic, Major), annual maximum remaining, and coordination of benefits flags.
Coverage from claims history Pulls 12 months of actual paid claim records from Open Dental's claimprocs table and derives real effective coverage percentages from them. In the pilot, 11 of 13 scheduled patients had enough claims history to surface coverage without any payer portal call.
Frequency limitations Exam, bitewing, filling, crown, and SRP frequency limits surfaced per patient from Open Dental benefit data. Know what is remaining before the appointment.
Eligibility explanation layer Confidence scores (0 to 100), completeness scores, and source badges on every data point so your team knows what to trust and what to verify.
Built for front office, billing, and RCM teams Designed for the staff who own eligibility, not just billing administrators reviewing reports after the fact.

Current Integration

EDiFi Eligibility Standalone is in active production pilot with an Open Dental practice in Utah. The pilot has validated: automatic appointment sync, claimprocs-based coverage calculation, frequency limitation surfacing, patient photos, and fee schedule reads. A BAA is in place with the pilot office.

Broader PMS expansion is on the roadmap after Open Dental validation is complete.

About Data Accuracy Eligibility data quality depends on payer response quality, PMS data availability, and office configuration. EDiFi is being designed to surface confidence levels, data gaps, and explanation context rather than presenting uncertain data as definitive. The system is not a substitute for payer verification when benefit accuracy is critical to treatment acceptance.

Part of a Larger Roadmap

Eligibility Is Where Clean Claims Begin

Getting eligibility right before the patient arrives is what prevents denials, billing surprises, and write-offs downstream. EDiFi Eligibility Standalone is the first product EDF is releasing. Once eligibility is solid, the platform expands into clean-claim workflows, payment audit, denial intelligence, and full enterprise revenue operations.
